How to Resize Your Photo and Signature for Exam and Job Application Forms

A practical guide to meeting the KB size, pixel dimensions and format rules on online application forms — and fixing the most common upload errors.

Almost every online application in India — competitive exams, university admissions, government jobs, scholarships — asks you to upload a photograph and signature that match strict rules. A rejected upload at the last minute is stressful. This guide explains what the rules mean and how to meet them.

Read the notification first

Every exam body publishes its own requirements, and they change between years. Before resizing anything, find these four details in the official notification:

  1. File format — usually JPG/JPEG; some accept PNG or PDF.
  2. File size range — for example, photo 20–50 KB, signature 10–20 KB. Note there is often a minimum as well as a maximum.
  3. Dimensions — in pixels (e.g. 200 × 230 px) or centimetres (e.g. 3.5 × 4.5 cm).
  4. Content rules — background colour, face size, whether the date and name must be printed on the photo, ink colour for the signature.
The numbers in this guide are only common examples. Always follow the figures in your exam's official notification.

Taking a good photo with your phone

  • Stand in front of a plain white or light-coloured wall in daylight; avoid shadows behind you.
  • Hold the phone at eye level, face straight on, both ears visible, no cap or dark glasses.
  • Leave space around your head and shoulders — you will crop it later.
  • Use a recent photo; many forms require it to be less than 3–6 months old.

Scanning your signature

  • Sign on plain white paper with a black or blue ball-point pen, as specified.
  • Sign larger than usual — it will be shrunk, and thin lines can disappear.
  • Photograph it in good light, then crop tightly around the signature.
  • Do not sign in capital letters unless your usual signature is in capitals; many forms reject this.

Getting to the exact size

  1. Crop to the right shape first (the width-to-height ratio from the notification).
  2. Resize to the exact pixel dimensions.
  3. Then compress to bring the file inside the KB range. Reducing pixels first means less JPEG compression is needed, so the image stays clearer.

Set the pixel size and KB range from your notification and download both files ready to upload.

Fixing common upload errors

ErrorLikely causeFix
File size too largeAbove the maximum KBCompress to a target size slightly under the limit
File size too smallBelow the minimum KB (yes, this exists)Increase pixel size or JPEG quality
Invalid formatFile is PNG, HEIC or has .jpeg vs .jpg mismatchConvert to JPG; rename if the portal is strict about the extension
Invalid dimensionsPixel size does not matchResize to the exact width and height

iPhone users: photos are often saved as HEIC, which most application portals do not accept. Convert them to JPG first.
